Privacy Policy
Draft, pending attorney review. This text is not final.
What we collect
From the intake: your name, email, organization name and type, team size, role, the tools you use, the tasks you describe, your rules and limits, any notes, and your consent date and policy version. From call requests and support: your name, email, preferred times and message. From purchases: order details from our payment processor. We do not collect card numbers ourselves.
Why we collect it
To build your plan, reply to you, schedule calls, deliver what you buy, set up and support your bots if you become a client, and keep the site secure.
Who can see it
Only signed in Steward Systems admins can see intake, call and support records. Your results page is reached by a private link containing a long random token. We store only a scrambled version of that token, so the link itself is the key. Do not share it if you want it private.
Processors
We use service providers to run the site: hosting, our database and storage provider, and our payment processor. When you become a client, the AI tools you choose also process data under their own terms.
Retention
We keep intake and request records for 24 months after your last contact, unless you ask us to delete them sooner or the law requires longer.
Access and deletion
To see, correct or delete your data, use our support form or email matth@northwestministry.com.
Digital purchases
The guide is a digital download. Purchase records are used to confirm access to the private file and handle refund requests. See our Refund and Cancellation Policy for guide refunds, setup refunds before work starts and monthly cancellation.
We never sell your data
We do not sell or rent personal information.
Cookies and storage
We use only essential storage: your browser keeps your intake progress and private links so you can come back, and sign in storage for admins. We do not run advertising trackers or third party analytics, so no cookie banner is needed.
Children
Our services are not directed to children under 13, and we do not knowingly collect their information.
Changes
We will post updates here with a new date. Our terms use the laws of the State of Washington. Updated October 28, 2026. Pending attorney review.
